Position Overview 

  • The Office Manager is responsible for overseeing the daily administrative operations of the office and ensuring a productive, organized, and efficient work environment. This role supports business operations by managing office facilities, coordinating administrative activities, maintaining vendor relationships, and providing operational support to employees and management.

Key Responsibilities

  • Oversee day-to-day office operations and ensure the workplace environment is safe, efficient, and well-organized.
  • Manage office supplies, inventory, and procurement processes.
  • Coordinate incoming and outgoing correspondence, deliveries, and office logistics.
  • Maintain office equipment and coordinate repairs and maintenance activities.
  • Provide administrative support to management and employees, including scheduling meetings and appointments.
  • Maintain office calendars, records, and administrative documentation.
  • Coordinate office maintenance, cleaning services, and vendor relationships.
  • Ensure office facilities, furniture, equipment, and utilities are properly maintained.
  • Organize company events, meetings, training sessions, and conferences.
  • Arrange travel, accommodation, and transportation logistics when required.
  • Monitor office-related expenses and support budget tracking activities.
  • Communicate with vendors, service providers, and employees to resolve administrative issues.
  • Support HR activities, including onboarding, employee orientation, and administrative HR processes.
  • Assist in organizing employee engagement, wellness initiatives, and company events.
  • Identify opportunities to improve office processes and administrative efficiency.

Requirements

Qualifications and Experience

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum 2–3 years of proven experience in office administration, office management, or a similar role.

Technical Skills

  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Experience with office administration systems and document management practices.

Language Proficiency

  • Fluency in Azerbaijani and good command of English is required.
  • Proficiency in Russian is an advantage.
